Privacy

When you create an account we store your email, name, and any agency branding you upload (logo, brand colour, custom domain). When you add a client we store the client's name and email so we can email them an invite to your portal.

Project content you create — projects, files, updates, invoices, and chat messages — is stored so it can be shown to you and the clients you share it with.

We do not collect special-category personal data and we do not buy data from third parties.

We use the data above to operate the service: signing you in, rendering your workspace, sending portal invites and notifications, and processing payments for your subscription.

We use anonymised product analytics (PostHog) to understand which features get used so we can improve the product. You can request that we exclude your account from analytics by emailing us.

Application data is hosted on Supabase (EU region). Payments are processed by Stripe; we never see or store full card numbers — Stripe holds those directly. Outbound transactional email is sent via Resend.

Inside your agency: you, any team members you invite, and the clients you share specific projects with. We use row-level security in the database so one agency cannot see another agency's data.

Filoow staff access production data only when you ask us to (e.g. to investigate a support issue) or when strictly required to keep the service running.

Your data is kept for as long as your account is active. If you cancel, your data is retained for 30 days so you can reactivate, then deleted. You can request immediate deletion at any time by emailing us.

You can request a copy of your data, correct it, or have it deleted. Email us and we'll respond within 30 days.

We use a small number of strictly-necessary cookies for sign-in sessions, plus PostHog analytics cookies. We do not run advertising trackers.
